— CHALLENGE

The challenge at FlexUren.

This B2B client processed all worked hours through spreadsheets. More than 40 separate Excel files moved between sites and projects, each with its own columns, formulas and manual entry. Numbers were retyped by hand, no change could be traced back to its source, and a single after-the-fact check took days.

The request was clear: replace that sprawl of loose sheets with a reliable flow where timesheets arrive, get read and validated automatically, and where every adjustment stays verifiable. Not faster copy-pasting, but a redesign of the entire chain.

— APPROACH

Our approach.

We built a central processing flow on our standard stack: Laravel with Filament for management and the screens, a Next.js layer for intake. Incoming timesheets first pass through a document-AI step that reads the data out of the files, regardless of the original sheet format.

Each line then runs through a validation layer: missing fields, odd totals and duplicate entries are caught before they move on. Everything passing through the system is recorded in an audit trail, so for every line it is visible who changed what and when. The retyping disappeared without giving up any control.

What it delivered.

The 40-plus Excel files have been replaced by a single smart flow. Timesheets arrive, get read by the document-AI and checked by the validation layer before anyone reviews them. The manual retyping between sheets is gone.

Because every processed line carries an audit trail, a later check is no longer days of digging but a matter of looking back: who adjusted what, and at which moment. The client keeps a firm grip on the numbers while recovering time that used to go into manual work.
